4. Allow Exchange users to book Workspace resources

You can allow your Microsoft Exchange users to book Google Workspace resources, such as meeting rooms, when they schedule a meeting. You can also allow Exchange users to view the availability of your resources and search for them by name. To book a resource, users can "invite" it to a meeting, just like they would invite a user.

Set up Workspace resources booking & availability sharing

For any newly added resources, you must repeat Steps 1 and 2.

Step 1: Configure booking permissions for your Workspace resources

To give your Exchange users permission to book Workspace resources, follow the steps at Allow non-Google users to book resources. You can grant booking permissions to entire Exchange domains or subdomains, or to individual Exchange user email addresses.

To allow your Exchange users to view the availability of Workspace resources and find them by name, complete the following steps.

Step 2: Add mail contacts for the Workspace rooms on Exchange

In Exchange, create mail contacts for your Workspace resources using user-friendly names. This process is similar to the mail contacts you added for individual Workspace users in Step 3.1.

Resource email addresses are found in the Resource Management section of the Admin console. Alternatively, adding contacts can be scripted using a combination of Microsoft PowerShell and the Directory API.

Step 3: Add an additional availability address space to Exchange

This step allows Exchange to correctly route calendar availability requests for Workspace resources to Google Calendar.

Create a new availability address space in Exchange for the resource.calendar.google.com domain. This space is similar to the availability address space that you added for your Workspace domain in Step 3.4.

Unlike regular Workspace users, Workspace resources always have the @resource.calendar.google.com domain. All other settings, including the Google role account, its credentials, and the local Exchange email account, should be the same for both of the availability address spaces.
