Archive or unarchive users

If a user leaves your organization, you can archive them. If a user returns to your organization, unarchive them. For more information, go to Archive former employee accounts.

To archive or unarchive users, use either Google Cloud Directory Sync (GCDS) or the Google Admin console, not both.

Archive or unarchive users with GCDS

  1. On the Licenses page of Configuration Manager, click LDAP License Rules and thenAdd Rule.
  2. In the LDAP Query field, using LDAP query notation, specify the users on your LDAP directory that should be assigned the license.

  3. Choose an option to Archive or Unarchive Google domain users.

  4. Select one of the following options:

    • OK—Adds the rule and returns to the LDAP license rules screen
    • Apply—Adds the rule and begins another LDAP license rule
    • Cancel—Cancels the rule
    • Test LDAP query—Tests the validity of the LDAP license query

Turn on enhanced license management

By default, GCDS blocks license operations for users who are being archived or unarchived. To turn on license operations for these users, go to the Licenses page of Configuration Manager and check the Enable license management for users in Archive and Unarchive rules box.

When this feature is turned on, the following license operations are allowed:

Rule type Allowed license operations
Archive rules License removal
Unarchive rules License assignment, removal, and update

Note: License operations for unarchived users don't include Google Workspace licenses. Google automatically manages these licenses.

Modify the propagation delay

A propagation delay prevents errors when you assign licenses to a user who was just unarchived. By default, this delay instructs GCDS to wait 10 seconds before assigning licenses to a recently unarchived user.

To modify the duration of the propagation delay, open the configuration file and modify the following string:

  • <unarchivepropagationdelayseconds>10</unarchivepropagationdelayseconds>
