To reduce user licenses for a Google service, follow the steps for the payment plan associated with that service.
Flexible Plan
You don't need to directly reduce user licenses on the Flexible Plan. Instead, just delete the users who no longer need a license. The number of licenses decreases by one for each user you delete. For paid services, your monthly payment decreases when you delete users. For details, go to Delete or remove a user from your organization.
Annual/Fixed-Term Plan
With the Annual/Fixed-Term Plan, you commit to paying for a full year of service for the number of user licenses you selected when you set up your annual contract. After you remove unnecessary licenses, your payment remains the same until it's time to renew your contract.
Follow these steps to reduce user licenses on the Annual/Fixed-Term Plan:
-
In the Google Admin console, go to Menu
Billing
Subscriptions.
Requires having the Billing management privilege.
- Click your subscription.
- Next to Renewal options, click Change.
- Select Auto-renew my contract with fewer licenses.
- Click Save.
Before your contract is scheduled to renew, take one of these actions for the users you don't want to pay for anymore:
- Delete their user accounts. For details, go to Delete or remove a user from your organization.
Unassign their Google Workspace license and assign a Cloud Identity or Archived User license. For details, see Assign, remove, and reassign licenses.
You need to have enough licenses available. To get more, go to:
On the day your contract is set to renew, we renew your annual commitment for the number of user accounts you have that day. We remove any licenses you're not currently using from your commitment, and your payment goes down.
