Use the data import tool to copy files from Microsoft OneDrive to your organization's Google Workspace account. The service doesn't delete or modify existing files or folders but copies them to the user's account in Workspace. Not all OneDrive features are supported.
2 ways to import data
There are 2 ways to import data from OneDrive to Workspace with the new data import tool:
- Default data import—Uses Google's shared API quota, letting you import data for up to 500 OneDrive users at one time. For details, go to Use the default data import method for OneDrive.
- Advanced data import—Uses your own dedicated API quota. Once you set up a Microsoft Azure application through the Azure portal, you can import your OneDrive data to Workspace in batches. You can add up to 5,000 users to one batch, and you can import up to 4 batches at one time. For details, go to Use the advanced data import method for OneDrive.
Imported features & data
| Feature in OneDrive | Feature in Workspace |
|---|---|
| Folders | Folders |
| Files | Files
Files are imported in their existing format. For example, a PDF will import as a PDF. |
| OneNote notebooks | Folders |
File & folder permissions:
|
Writer imports to Editor. Reader, Reviewer & Can't download import to Viewer. Can't download permissions are imported for files but not folders. Can't download permissions are imported for users but not links. Custom permissions map to Viewer, Contributor, or Content Manager, depending on the level of access in OneDrive. |
Multiple shareable links:
|
Anyone links import as Anyone with the link links. People in your organization links import as domain-based link permissions. People you choose links import as user permissions. An item in Workspace can only have one shareable link. When multiple links to the same item import, the service uses the most restrictive sharing setting. For example, if a OneDrive link is shared with Writer and Reader permissions, the link imports to Workspace with Viewer permission. |
| Files & folders shared with external users |
Shared with the same users in Workspace. External users also receive email notifications when new files or folders are shared with them. You don't need to include external users in the identity map. |
| URL links in files | URL links inside a file import in their existing format. |
What's not imported?
- For default mode imports, child files and folders with restricted permissions, such as when a user has permission for a parent file or folder but not the child file or folder.
- Files and folders that are created (owned) by external users.
- Any file or folder that was last modified by an external user.
- Previous versions of files—only the latest version of a file imports.
- OneDrive Personal Vault files and Favorites.
- OneDrive folder shortcuts and colors.
- OneDrive file expiration dates.
- OneDrive file imports to shared drives in Google Drive.
- A single OneDrive file mapped to multiple users or groups in Workspace. You need to provide a one-to-one or many-to-one mapping.
- For advanced imports, permissions for external users are not supported.
