As an administrator, you control how people in your organization use the Gemini app with their Google Workspace account. This setting is on by default, meaning users can connect Workspace apps to the Gemini app. This allows the Gemini app to find information from content in apps like Gmail, Google Drive, and Calendar. You can also turn on other Google apps (additional services) in Gemini, such as Google Maps and YouTube.

Supported Workspace apps
Workspace apps are available to most users with a Google Workspace license. Users can let the Gemini app use their Workspace content in Google Calendar, Google Docs, Google Classroom, Google Drive, Gmail, Google Keep, and Google Tasks.
Google Classroom is turned on by default only for Google Workspace for Education customers.
Using Workspace apps
You must turn on Gemini conversation history to use Workspace apps in Gemini.
If your organization turned off a Workspace service the corresponding Workspace apps is not available in Gemini.
If your prompt has multiple actions using separate apps or services, and one or more of the those services aren't turned on, none of the actions are completed. For example, if you prompt Gemini to create an event in Calendar and add a reminder for it, but Tasks isn't enabled, the event isn't added to Calendar and you won't get a reminder.
To get links to additional Gmail information in Gemini's responses to your prompts (citations) or let users upload Drive files to Gemini or to Gem instructions, turn on Workspace apps in Gemini for Workspace services. If you turn off Workspace apps in Gemini for Workspace services, any chats with the Gemini app that use Workspace apps are still available to users. However, the Gemini app has access only to the information needed to respond to the original prompt. The Gemini app can't access additional information from Workspace services until you turn on Workspace apps for Workspace services again.
Users who access Gemini as an additional Google service can't use Workspace apps in Gemini for Workspace services.
Google Classroom doesn't support data regionalization, and your usage data may be stored outside of your designated data region. For details on when data regions supports Classroom, go to Data covered by data regions.
Supported Google apps
These apps are available to all Google users, whether they have a Google Workspace license or not. When Workspace users access these additional services, they do so under the Google Terms of Service. Users can let the Gemini app use content in Google Maps, YouTube (including YouTube Music), Hotels, and Flights.
Allow access to Workspace apps
By default, the Gemini App can connect to Workspace apps. For details, go to Manage Google Workspace smart features for your users.

In the Google Admin console, go to Menu

Requires having the Gemini Settings administrator privilege.
Scroll to Apps.
Click the setting you want to change:
- Workspace apps—select to allow access to apps like Gmail, Drive, and Calendar.
- Classroom app—select to allow access to Google Classroom.
- Other Google apps—select to allow access to non-Workspace apps like Google Maps and YouTube.

(Optional) To apply the setting only to some users, at the side, select an organizational unit (often used for departments) or configuration group (advanced).

Click Save.
