From an operational perspective, HP Dimension functions as a Google Meet Hardware device or a Zoom Room depending on your license. This guide starts with that foundation and walks you through how to deploy each one in an organization that uses Microsoft Teams. It covers everything needed to set up and deploy a Beam room, including licensing, device management, room enrollment and assignment, scheduling meetings, Direct Guest joining a Teams meeting, and presenting content.
Because Beam-enabled devices function as Google Meet Hardware or Zoom Rooms, much of the documentation in this guide links to the existing instructions for these devices to ensure the most up-to-date information.

Licensing and domain
Google Beam for Meet
A Google Beam for Meet license is required for each HP Dimension device. This is a unique license that has been created specifically for Meet and is bought from your channel partner.
You also need a Google Workspace user license for every user who:
- schedules a Beam meeting
- hosts a Beam meeting
- presents in a Beam meeting
- is an admin managing a Google Beam for Meet device
The minimum license required is the Google Workspace Enterprise Standard edition. A minimum of 2 Google Workspace user licenses are required as part of enrollment of the device (one for the super administrator user and one for the license integrator). A verified Google Workspace domain is also required.
Assign licenses
Once you have user licenses, you need to assign the licenses to Beam users at your company.
Google Beam for Zoom
A Google Beam for Zoom license is required for each HP Dimension device. This is a unique license that has been created specifically to use Beam with Zoom and is bought from your channel partner.
A Zoom user license is required for every user who:
- schedules a Beam meeting
- hosts a Beam meeting
- presents in a Beam meeting
- is an admin managing a Google Beam for Zoom device
The minimum license required is the Zoom Workplace Enterprise edition. If you would like advanced domain features including SSO login, you need to complete Zoom domain verification also.
A minimum of 2 Google Workspace user licenses are required as part of enrollment of the Beam device (one for the super administrator user and one for the license integrator). The minimum license required is the Business Starter edition. A verified Google Workspace domain is also required.
Assign licenses
Once you have user licenses, you need to assign the licenses to Beam users at your company.
Device management
Google Beam for Meet
A Beam-enabled room functions as a Meet hardware room and is managed using the Devices section of the Google Admin console.
Google Beam for Zoom
A Beam-enabled room functions and is managed identically to a standard Zoom Room using the Zoom web portal—a browser-based dashboard used to manage software settings, user profiles, personal meetings and account billing.
Within the Zoom web portal is the Zoom Device Management tool. This is used to control the HP Dimension hardware and monitor the device.
Set up Microsoft Exchange and add-ins
In addition to configuring calendars and add-ins for your Beam rooms, you need to identify the rooms as being Beam-enabled. Go to Add Beam as a resource feature to get instructions.
Google Beam for Meet
Assign a Google Calendar to the Beam room
Assign a Google Calendar to the Beam room before enrolling Beam rooms in Exchange.
Enroll Beam rooms in Microsoft Exchange
To ensure that the meeting details show on the in-room touchscreen, you must add the room as a location in your Outlook meeting invite. For this to work, the room must first be connected to an Exchange calendar resource. To connect it, follow the steps in these guides:

- Set up an Outlook contact shortcut for the Beam room
Install the Google Meet add-in
The Google Meet Add-in lets users schedule meetings directly in Outlook and generate a Meet meeting code to use for the Beam meeting. If your organization supports centralized deployment, use that method—go to the Microsoft documentation for instructions.
If centralized deployment isn't an option, you can have your users install it directly. Provide them the following instructions:
- Sign in to your Outlook user account.
- Go to the Microsoft AppSource store.
- Click Get it now.
- Sign in to Microsoft Marketplace and follow the instructions to install and enable the Google Meet Add-in.
Google Beam for Zoom
Add Zoom Rooms in the Zoom web portal
Add the rooms in the Zoom web portal before enabling Beam rooms in Exchange.
Enroll Beam rooms in Microsoft Exchange
To ensure that the meeting details show on the in-room touchscreen, you must add the room as a location in your Outlook meeting invite. For this to work, the room must first be connected to an Exchange calendar resource. To connect it, follow the steps for setting up a calendar for a Zoom Room.
Install the Zoom for Outlook add-in
The Zoom add-in lets users schedule meetings directly in Outlook and generate a Zoom meeting code (used for the Beam meeting). See the Zoom documentation for instructions on how to install the Zoom add-in.
Create a contact group for Zoom Rooms
Zoom lets you create a contact group of Beam-enabled Zoom Rooms so they can call each other directly more easily. This is a useful option for executives who want to dial other Beam rooms directly from the Beam touchscreen.
Scheduling 3D Beam meetings using Outlook
Google Beam for Meet
Once the Meet add-in is installed, users can schedule meetings in Outlook by adding a Meet meeting to an Outlook event. Provide them the following instructions:
- Under Invite required attendees, search for the Beam rooms. Rooms show as contacts.
- Book 2 Beam rooms.
Google Beam for Zoom
Once the Zoom for Outlook add-in is installed, users can schedule meetings in Outlook. Provide them the following instructions:
- Add 2 Beam rooms exactly as you would a standard room resource in Outlook.
Joining a Teams meeting from a Beam-enabled device
Google Beam for Meet
Just as with a Meet hardware device, users can join a Teams meeting with Direct Guest Join or Pexip Connect. Some Meet features aren't supported on a third-party conference—see the Meet documentation for a list.

Google Beam for Zoom
Just as with a Zoom Room, users can join a Teams meeting with Direct Guest Join or Pexip Connect. Some Zoom Room features aren't supported on a third-party conference—see the Zoom documentation to see what is available.

Presenting content in a Beam meeting
Google Beam for Meet
Presenting content in a Beam meeting differs slightly from how content is shared in a Meet meeting. To present, a user must be signed in to their Google Workspace account and on the Beam meeting invite.
Presenting in instant meetings isn't supported.
Google Beam for Zoom
Presenting content in a Beam meeting differs slightly from how content is shared in a Zoom meeting. To present, a user must be signed in to their Zoom account and on the Beam meeting invite. They must then use the Zoom client app on their laptop to share content.
Presenting in instant meetings isn't supported.
