Let Google Voice take AI notes for my users

As an administrator, you can let people in your organization use Gemini notes during Voice calls. After the call ends, a recording, transcription and notes are stored in Google Voice and emailed to the person who started the note-taking.

Important notes about Google Voice "take notes for me":

  • This feature requires an eligible Google Workspace subscription and Voice add-ons.
  • This feature is available only in English.
  • This feature supports one language at a time. Multiple languages spoken in the same call aren't currently supported.
  • This feature is available in Web, Android, and iOS.
  • User data isn't used for training or evaluation purposes. Learn more about Gemini data retention.

Turn on Gemini in Voice

  1. In the Google Admin console, go to Menu and then Generative AI and then Gemini for Workspace.

    You must be signed in as a super administrator for this task.

  2. Click the Feature access panel.

  3. (Optional) To apply the setting only to some users, at the side, select an organizational unit (often used for departments) or configuration group (advanced).

  4. Click Edit next to Google Voice.

  5. Click On, and then click Save.

Turn on call recording and Gemini notes

The use of Gemini notes during calls in Voice requires you to enable call recording.

Before you begin: If you need to set up a department or team for this setting, go to Add an organizational unit.

  1. In the Google Admin console, go to Menu and then Apps and then Google Workspace and then Google Voice.

    Requires the Google Voice Admin role.

  2. Click Settings and then Policies.
  3. (Optional) To apply the setting to a department or team, at the side, select an organizational unit.
  4. Click On-demand or Automatic call recording and choose All calls.
    • On-demand recording: End users can start or stop "take notes for me" manually as long as an administrator has turned on the feature.
    • Automatic call recording: If your organization records calls automatically, only an administrator can turn "take notes for me" on or off for the entire organization. Automatic call recording is only available with Voice Premier subscriptions.
  5. Under Gemini Notes, choose On and Save.
  6. For Announcements:
    • Choose the default announcement: "This call is being recorded and captured by AI."
    • Choose a custom a message. Next to the announcement, click More to use an uploaded audio or text-to-speech message or to delete the announcement.
    • If you have multiple messages, you can change their position by clicking More and then Move up or Move down.
    • Click Add another announcement to add announcements for other languages.
  7. Click Save. Or, you might click Override for an organizational unit.

    To later restore the inherited value, click Inherit.
